Candidate-Specific Information We Collect and Retain

When candidates register and use the WPC Jobs platform, we collect the following information. This information is subject to additional protection due to its sensitive nature:

Account & Identity

  • Email address and login credentials
  • Full name, phone number, and current UK address (including street address, city, and postcode)
  • Location information
  • Date of birth
  • Nationality

Visa & Immigration Status

  • Visa type and current visa status declaration
  • Information about dependents and family members on the candidate's visa
  • Visa / Leave Expiry Date
  • Right-to-Work Share Code (used by employers to verify eligibility to work in the UK)

CV & Professional Profile

  • Professional summary and key skills
  • Employment history (job titles, employers, dates, references)
  • Education history and qualifications
  • Languages spoken
  • Target roles and job preferences

Identity & Right-to-Work Documents

  • eVisa (mandatory) and supporting documents
  • Passport copies
  • Biometric Residence Permit (BRP) card
  • DBS Certificate (for Health and Care Worker visa holders)

Additional / Sector-Specific Documents (optional)

  • Qualification certificates (PDF, JPG, PNG, DOC formats, up to 10 MB)
  • English language proficiency evidence (e.g. IELTS Results at B1 CEFR or proof of a degree taught in English)
  • Specialised licences (e.g. Driving Licence, SIA licence, and other industry-specific licences)
  • Training and compliance certificates
  • Any additional named documents uploaded by the candidate (e.g. reference letters, certificates)

Billing & Payment Information (Candidates)

  • Payment method details (card or bank information), processed securely via Stripe

Employer / Company-Specific Information We Collect and Retain

When employers or companies register and use the WPC Jobs platform, we collect the following information:

Company Details

  • Company name and registered address
  • Company type and Companies House registration number
  • Sponsor Licence status and Sponsor Licence type
  • Company website URL

Operational & Hiring Information

  • Current staff count / company size
  • Key positions to fill and hiring needs

Job Posting Details

  • Job title, job location type, and specific job location
  • Job post date and application deadline (end date)
  • Job type (e.g. full-time, part-time, freelance, internship, permanent, temporary, fixed-term contract, temp-to-perm, apprenticeship, volunteer, graduate)
  • Salary, pay rate, and benefits information
  • Job description (JD)

Offer & Hiring Information

  • Position offered, proposed annual salary, and proposed start date
  • Offer letters and contract letters
  • Candidate acceptance or rejection information
  • Additional notes relating to job offers

Interview Information

  • Interview questions prepared by employers
  • Interview video recordings
  • Interview notes and preparation materials

Billing & Payment Information (Employers)

  • Payment method details (card or bank information), processed securely via Stripe

Our legitimate interests include: facilitating effective job matching between candidates and employers; enabling employers to assess candidates' suitability for roles; verifying candidates' right to work in the UK; improving and maintaining the security and functionality of the WPC Jobs platform; and detecting and preventing fraud or misuse of our services.

Our legitimate interests include: matching candidates with suitable employment opportunities; enabling employers to verify right-to-work status and suitability for sponsored roles; maintaining a reliable and compliant job board service; and supporting the hiring process including interviews, offers, and onboarding documentation.

Where We Get Personal Information From

Directly from you

When you register an account, complete your candidate or employer profile, upload documents, post job listings, or communicate through the platform.

Third-party verification services

For example, when employers use the Government's online right-to-work checking service via the Right-to-Work Share Code you provide.

Payment processors

Stripe, our payment processor, may share transaction confirmation and related data with us to facilitate billing.

How Long We Keep Information

We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. Our standard retention periods are as follows:

Candidate account data and CV information: Duration of your active account and up to 3 years following account closure or last activity, unless you request earlier deletion.
Employer account data and job postings: Duration of your active account and up to 3 years following account closure.
Identity and right-to-work documents: In line with applicable employment law requirements, typically for the duration of any relevant hiring process and up to 2 years thereafter, or as otherwise required by UK law.
Interview recordings and notes: Up to 12 months following the conclusion of the relevant job board process, unless otherwise required.
Billing and payment records: Minimum of 6 years in accordance with HMRC and financial record-keeping requirements.
Communications and correspondence: Up to 3 years following the close of the relevant matter.

At the end of the applicable retention period, personal data is securely deleted or anonymised. You may request earlier deletion of your data at any time, subject to our legal obligations (see 'Your right to erasure' above).

Who We Share Information With

Legal obligations

Organisations we're legally obliged to share personal information with (e.g. regulatory bodies, HMRC, law enforcement agencies where required by law).

Employers on WPC Jobs

Candidate profile information, CV data, and right-to-work documentation are shared with employers for the purposes of recruitment and candidate assessment, where a candidate has applied for or expressed interest in a role.

Stripe (Payment Processor)

Our third-party payment processor, who processes card and bank payment information on our behalf. Stripe is certified to PCI DSS standards. We do not store full payment card details on our systems.

Identity verification providers

Where required to support verification processes under UK immigration and employment law.

IT and platform service providers

Third-party technology suppliers who support the operation, maintenance, and security of the WPC Jobs platform, acting as data processors on our behalf under appropriate data processing agreements.

We do not sell your personal data to third parties. Where we share data with third-party processors, we ensure that appropriate contractual protections are in place.
